Refund Policy

1. Purpose
This policy sets out the circumstances in which a learner may receive a refund of fees paid to ACLAS Global International Education Group, and the procedure for requesting one.
2. Cooling-Off Period
A learner who enrols on an OTHM qualification has the right to cancel their enrolment within 14 calendar days of payment and receive a full refund of course fees, minus a non-refundable administrative charge of $95. To cancel, the learner must notify the Centre in writing at [email protected]. No reason is required.
The cooling-off right does not apply once the learner has accessed more than the introductory module of their course materials on Moodle, as the Centre will have commenced delivery of the service.
3. Refunds After the Cooling-Off Period
Full Refund (minus $95 administrative charge)
The Centre provides a full refund if:
- The Centre cancels a programme and cannot offer a suitable alternative.
Partial (Pro-Rata) Refund
A pro-rata refund may be granted at the Centre Director's discretion where:
- The learner withdraws due to serious illness, injury, bereavement, or other compelling personal circumstances (supporting evidence required).
- The refund amount is calculated based on the proportion of units not yet accessed, minus the administrative charge.
No Refund
No refund is provided:
- After the 14-day cooling-off period where the learner has commenced study and none of the above conditions apply.
- Where the learner is withdrawn following a confirmed finding of serious malpractice or plagiarism.
- Where the learner is expelled for breach of the Centre's code of conduct.
- Where the learner abandons the programme without communication for 90 days or more.
- For OTHM learner registration fees, which are non-refundable and non-transferable once remitted to OTHM.
This policy does not affect any statutory rights the learner may have under US federal or Georgia state consumer protection law.
4. OTHM Fees
Learners are advised that OTHM registration fees, once paid by the Centre to OTHM, are non-refundable and non-transferable between learners or qualifications. Where a refund is processed, any OTHM fees already remitted are deducted from the refund amount.
5. Procedure
1. The learner submits a written refund request to [email protected], including their full name, qualification, and the reason for the request, with supporting evidence where relevant.
2. The Centre acknowledges the request within 5 working days.
3. A decision is communicated in writing within 15 working days of receiving all required information.
4. Approved refunds are processed within 30 calendar days using the original payment method where possible.
6. Appeals
A learner who is dissatisfied with a refund decision may appeal through the Appeals Policy.
7. Record Keeping
Records of all refund requests, decisions, and payments are retained for a minimum of 3 years.
8. Policy Review
This policy is reviewed annually.
